ChainBreaker Consulting LLC (“War Machine,” “we,” “us”) operates the website dealerwarmachine.com and the War Machine for Dealers software service (the “Service”). This Privacy Policy explains what we collect, how we use it, and your rights.

Information We Collect
Information you provide
- Account information. Name, business name, email, phone, role, and password when you create an account.
- Billing information. Payment method details collected by Stripe; we receive limited metadata such as last four digits, brand, country, and billing zip. We do not store full card numbers.
- Customer Data. Information you upload, import, or generate in the Service — including your contacts, call recordings, transcripts, dispositions, notes, and CRM records.
- Communications. Messages you send to us via email, in-app chat (Intercom), or our forms.
Information collected automatically
- Usage data. Pages viewed, features used, click events, time stamps, and similar telemetry.
- Device data. IP address, browser type, operating system, language, referring URL, and screen size.
- Cookies & similar technologies. See “Cookies” below.
- Call data. When you place calls through the Service, we and our telephony partners process call metadata (numbers, duration, status) and, where lawful and configured, audio recordings and transcripts.
Information from third parties
- Integrations. If you connect Stripe, HighLevel/GHL, Twilio, Trellus, Intercom, or other services, we receive data from them per your authorization.
- Public sources. Business contact information may be enriched from publicly available sources or our data providers.

How We Use Information
- To provide, operate, and improve the Service;
- To create and authenticate your account, process payments, and prevent fraud;
- To dial, message, and analyze calls on your behalf as you direct;
- To deliver customer support, including via in-app chat (Intercom);
- To send service notices, billing notices, and (with consent or as permitted) product updates;
- To monitor security, debug issues, and enforce our Terms;
- To comply with law and respond to lawful requests.

How We Share Information
We share information only as described below. We do not sell personal information.
- Service providers / sub-processors. Vendors that operate the Service on our behalf, including: Stripe (payments), Twilio and connected carriers (telephony, SMS, voicemail delivery), HighLevel/GHL (CRM, marketing automation), Trellus (call analytics, AI coaching, transcripts), Intercom (in-app messaging and support), Vercel (hosting), Supabase (database hosting), Resend (transactional email), and similar infrastructure and analytics providers.
- Your direction. Where you instruct us to share data with a third party (e.g., a CRM you connect).
- Legal compliance. When required by law, subpoena, or to protect rights, safety, or property.
- Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to confidentiality obligations.
- Aggregated / de-identified data. We may share data that cannot reasonably be used to identify you.

Cookies & Tracking
We and our service providers use cookies and similar technologies (such as local storage and pixels) to keep you signed in, remember preferences, measure performance, and understand how the Service is used. You can control cookies through your browser settings; blocking some cookies may affect Service functionality.

Call Recordings & Transcripts
The Service can record and transcribe calls. You are responsible for obtaining any consent required by federal or state law (including all-party consent jurisdictions) before recording. We process recordings and transcripts on your behalf as your service provider.

Data Retention
We retain account information for as long as your account is active and for a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce agreements. Customer Data is retained per your subscription; on termination, we delete or anonymize Customer Data after a reasonable period unless we are required to keep it.

Your Rights
U.S. residents (CCPA/CPRA and similar state laws)
Depending on your state, you may have the right to: know what personal information we collect; access or receive a copy; correct inaccuracies; delete; opt out of “sale” or “sharing” of personal information; and not be discriminated against for exercising these rights. EEA / UK residents (GDPR / UK GDPR)
You have rights of access, rectification, erasure, restriction, portability, and objection. Where we process personal data on your behalf as a processor, we will direct your request to the relevant Customer (controller). You may also lodge a complaint with your local data protection authority.
Communications opt-out
You can unsubscribe from marketing emails using the link in any such email or by contacting us. We will still send transactional and service-related messages.

Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, and least-privilege provisioning. No method of transmission or storage is 100% secure. If we learn of a breach affecting your information, we will notify you as required by law.

International Transfers
We are based in the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S. and other jurisdictions where our service providers operate. Where required, we use appropriate transfer mechanisms.

Children
The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the “Effective” date and notify you by email or in-app where appropriate.
